Given how quickly the situation with COVID-19 has developed over the past week, we would like to reassure all of our clients and reiterate our message that we continue to deliver all our desktop-led procurement, data, bureau and legislation services without interruption.
We have had to make some adjustments to how we deliver some of our services and the brief explanation below will give you some insight as to the measures we have put in place.
Our Billing Validation service relies on a number of utility invoices being delivered to our offices via Royal Mail. We already receive the vast majority of invoices in an electronic format, but to offset the potential risk of the disruption of the Royal Mail service due to a total lockdown, we have already approached those suppliers which rely on the postal service to understand what interim processes they will put in place. In the meantime, we have redirected all mail to ensure that it continues to reach us safely, but without exposing our staff to extra risk by going to our offices.
TENANT-ON-CHARGE / APPORTIONMENTS
Our Tenant-On-Charge / Apportionments service will continue as normal for sites with available meter readings (whether taken manually or via AMR). As is the case in any other circumstance where readings or data is unavailable, Carbonxgen will calculate estimates unless instructed otherwise. We understand that many sites will have reduced operations during this time, therefore we will be adjusting our estimates where required by reviewing fluctuations in main site usage taken from the billing. All estimated usage can then be reconciled against actual usage once business as usual is restored and meter data becomes available. To assist with the apportionment calculations as much as possible, please notify us where you may be aware of significant changes in operation or occupancy at site.
All projects which require a presence at site have been put on hold and will be reviewed at the end of the 21-day lockdown. During this time a member of the technical team, or your account manager, will be in touch with you directly to understand what the priority of your projects are so that we can collectively co-ordinate all site visits and prioritise the most urgent projects.
We anticipate a higher volume of projects being booked once the virus is under control and activities start returning to normal. Please discuss your upcoming projects with your account manager so that we can work with you ahead of time to reduce the risk of any unnecessary delays to work being undertaken. This could relate to any projects which are time sensitive; namely investigative surveys, MID related metering projects, new connections and/or disconnections.
